ARCADIA GLAMPING TERMS AND CONDITIONS 

We strongly recommend that you have suitable travel insurance to cover you in the event of cancellation or injury

MAKING A BOOKING 

Our booking policy is for a minimum of two nights.  

A deposit of 50% of the total cost of your booking is taken at the time of your booking if booked 6 weeks in advance. The balance is due 6 weeks before arrival. 

If you plan to take your holiday within the 6 weeks of your booking date, payment must be made in full at the time of booking.

If the balance is not paid by the due date, Arcadia Glamping reserves the right to re-let the cabin and retain the deposit.

Please note that receipt of your automatically generated booking summary does not constitute a contract between us. A contract shall only arise once your booking is confirmed by email and your deposit or full payment (whichever is applicable) is received.

Receipt of your confirmed booking and deposit confirms your acceptance of our Terms and Conditions. Arcadia Glamping reserves the right to cancel your booking if payment conditions are not upheld.

CANCELLATION BY YOU 

If you are not insured and you needed to cancel your holiday, we would endeavour to re-let the cabin for you, but we cannot return any monies to you unless we manage to re-book the cabin and we obtain the original price you booked the accommodation for.

If you have booked and paid a deposit: We will do our best to re-let the property. If we successfully re-let the property for the same price, we will refund the deposit paid less a £20 administration fee. This would be refunded after the replacement booking has been paid for in full. If we do not re-let the property, the full amount of the deposit paid is forfeited.

If you have booked and paid in full: We will do our best to re-let the property. If we successfully re-let the property, we will refund the full amount of the amount paid by the new customer (the amount paid may have been discounted) less a £20 administration fee. This would be refunded after the replacement booking has been paid for in full. If we do not re-let the property, the full amount paid is forfeited.

Cancellations must be made in writing (by letter or email.)

The decision of Arcadia Glamping on all claims will be final.

CANCELLATION BY US 

We take every care to ensure that your cabin is ready for your arrival however if for unforeseeable circumstances we are unable to provide safe accommodation due to extreme weather conditions, ill health, fire, administration/duplication or any other extenuating circumstance Arcadia Glamping reserves the right to cancel a holiday or transfer you to alternative accommodation on site or nearby at short notice. In the event of there being no alternative accommodation, a full refund on the monies received will be given. No compensation or consequential losses shall be paid. 

ARRIVAL AND DEPARTURE TIMES

Your accommodation will be ready on your day of arrival by 3pm (15.00). 

Departure time is by 10am (10.00) on your day of departure.

Early arrival - by arrangement.

Late departure - by arrangement. 

OCCUPANCY

The number of people staying in any accommodation is restricted to 2 per cabin and must at no time exceed the number stated and agreed in the booking. In the interest of other guests and for safety purposes, casual overnight guests are not permitted. If it is found that additional visitors are using the property this will be considered a breach of contract and the holidaymakers and their party will be asked to leave immediately without any refund. 

Unfortunately, we cannot accept children as our cabins do not have the necessary facilities to accommodate them.

We do not allow pets except for Assistance Dogs but please do talk to us first. 

Guests must be over 18 years of age.

The contract confers on you a right to occupy the accommodation for a holiday only and, in terms of section 12 (schedule 4, paragraph 8) of the Housing (Scotland) Act 1988, is not an ‘assured tenancy’. 

CARE OF THE PROPERTY

The named person(s) booking the accommodation are responsible for and agree to reimburse Arcadia Glamping all costs incurred by the owner as a result of any breakage or damage to the property, fixtures, fittings and equipment which is caused by you or any members of your party. If an exceptional level of cleaning is required after use of any of these facilities, the cost will be charged to the named person. We reserve the right to invoice the named person(s) to cover any such costs. Accidents happen and we ask that any breakages or damages are reported immediately to Arcadia Glamping.

All bed linen and towels are provided with beds made up for your arrival. These items must always remain inside your accommodation. Bedding must not be taken outside. The exception to this rule is the two outdoor blankets supplied which you will find in the storage compartment beneath your bed.

You are responsible for leaving the property secure if left unoccupied during the period of let. 

Smoking is not allowed within the property.

Please only use the electrical appliances supplied as these have been carefully selected to meet the power limits of the cabins.

Your cabin is supplied with a gorgeous range of eco-friendly bathroom products by Faith in Nature including hand wash, shampoo, conditioner, and body wash. To protect our natural environment, we ask that you use the eco-friendly products provided. If you prefer to bring your own, please ensure they are environmentally friendly.

The owners or employed staff of Arcadia Glamping reserve the right to enter the accommodation at any reasonable time, and with reasonable prior notice if any urgent need were to arise (e.g. for health and safety reasons or urgent repair). 

WHEN YOU LEAVE

On departure, please leave the cabin clean and tidy returning everything to its original place (this includes furniture, cutlery, crockery, utensils etc)

At the end of your stay, we ask that you remove the bedding and place it in the laundry bag provided along with your towels and bath robes. We kindly request that you wash and dry your dishes before you leave.

The door should be locked and the key returned to the key-lock. A charge of £25 will be applied for lost or damaged keys or for failure to leave keys on departure.  

Please use the recycling facilities and ensure that all waste is taken to the designated area for disposal.  

SMOKING AND FIRE

Smoking is not permitted anywhere within the cabins. Please restrict smoking to outside areas and dispose of your cigarette butts responsibly.

Fires must be restricted to the outside fire and used only in the designated areas and with the equipment provided.  

Only logs supplied by Arcadia Glamping may be used in the outside fire. Foraging for wood within the grounds of Arcadia is strictly forbidden.

All guests that light fires are responsible for managing them safely and ensuring that safety precautions are taken, including utilising the fire screen when retiring to bed or leaving the property.

We do not permit the use of candles, BBQ’s, disposable BBQ’s, Chinese Lanterns or Fireworks anywhere in the vicinity of the cabins or on the Arcadia Sculpture Centre site.

In the case of an emergency, please use the fire extinguisher, fire blanket and first aid kit supplied, but also alert a member of staff immediately. 

VEHICLES

Visitors are required to park in the designated parking space which is set aside for each cabin. Vehicles, bicycles, trailers and their accessories and contents are left entirely at their owners’ risk. We will not be responsible for any loss or damage thereof or thereto from any cause whatsoever. 

CONDUCT

The named person(s) booking the accommodation is responsible for the behaviour and actions of their guests while at Arcadia Glamping.

Guests may be asked to leave the premises if their behaviour is threatening, aggressive, anti-social, or damaging in any way to the other residents or to the staff of the premises. In this circumstance, your full cooperation is expected. 

Please respect the natural environment and your neighbours and keep any noise to a minimum after 11.00pm. 

DUE CARE AND ATTENTION

Whilst we encourage guests to enjoy the public areas, Sculpture Trail and woodlands, please note that care must be taken due to natural hazards associated with a location such as this. Walkways, bridges and steps may be slippery particularly when wet, footpaths and tracks may be uneven with tree roots and rocks and there is limited lighting after dark. For your own safety, please do not enter the sculpture trail and woodlands during high winds or when the burn is in spate. Care should be taken around the ponds.

There is strictly no paddling or swimming allowed in the wildlife ponds. During the winter months snow and ice are not uncommon; please take extra care at these times.

All guests utilise the grounds and gardens at their own risk.

We strongly recommend that you take out travel insurance against the risk of accidents. 

SEVERE WEATHER

Arcadia Glamping accepts no responsibility for the failure of services due to weather, nor for any difficulties experienced when accessing or leaving the site. During severe weather, there is a chance that power cuts will occur. As this is out with our control, no refunds or compensation will be offered or paid. 

PERSONAL BELONGINGS

Arcadia Glamping will not be held responsible for damage or loss to any personal property brought onto the premises or in guest vehicles. It is the guests’ responsibility to check for all personal belongings before departure from Arcadia Glamping. 

COMPLAINTS

We work hard to ensure all our guests have a wonderful holiday. If you have a complaint about your stay, please notify a member of staff as soon as your complaint arises. This must be before your departure in order that we are given the opportunity to resolve or rectify any issues during your stay. If you choose not to raise a complaint during your stay, please be aware that we shall not, except in limited circumstances, be liable after the rental period has come to an end. 

We respectfully ask that any complaints be made in a reasonable manner. 

GIFT VOUCHERS

Gift Vouchers are valid for 12 months from the date of purchase

Gift Vouchers are available to purchase in a variety of denominations and can be redeemed against a minimum 2 night stay at Arcadia Glamping

Gift Vouchers can be redeemed online using your unique code provided on the PDF Gift Voucher. In the instance of multiple vouchers being redeemed in the same transaction, please see below

Multiple vouchers may be redeemed in the same transaction up to the value of the stay being purchased. Please contact us in the instance of multiple vouchers being redeemed in the same transaction as this cannot be done online without our assistance

Gift Vouchers must be redeemed within the period of the voucher validity

Expired vouchers will be treated as void and are non-exchangeable and non-refundable

Arcadia Glamping does not offer refunds for Gift Vouchers

Gift Vouchers cannot be exchanged for cash

No change can be given from a Gift Voucher

Gift Vouchers cannot be used to buy a Gift Voucher

Discount codes may not be applied to a Gift Voucher purchase

Gift Vouchers may not be used by other brands or businesses for marketing purposes without the written permission of Arcadia Glamping

Once a date has been booked with Arcadia Glamping and confirmation has been received your voucher will be deemed to be used at that point.

It is the responsibility of the purchaser to ensure that the recipient is aware of the Terms and Conditions applied to the voucher

Our standard Terms & Conditions will apply to all Gift Voucher bookings

By purchasing a voucher from Arcadia Glamping, you are agreeing to be bound to these Terms and Conditions

FORCE MAJEURE

Arcadia Glamping will not be responsible for the failure to provide facilities contracted in the event of it being prevented from doing so as a result of “Force Majeure” or any other cause beyond its control. This includes industrial disputes, orders or regulations issued by Central Government, riots, floods, fire, exceptional weather conditions, epidemics, or power failure. If we must cancel your booking in advance due to circumstances beyond our control, we will refund you the full amount of the booking. If we must terminate your holiday early for the above reasons, you will be refunded part of the booking fee based on the time remaining of the booking. Under no circumstances shall the proprietor’s liability to the client exceed the amount paid to them for the rental period. No additional compensation, expenses or costs will be payable. 

Arcadia Glamping always endeavours to provide the facilities and services promoted on our website but are not liable to pay any refund should any of these fail. 

By making a booking, you agree that: –

a) you have read these Terms & Conditions and agree to be bound by them.

b) you consent to our use of your information in accordance with our Privacy Policy.

c) you are over 18 years of age. 

Please check your booking confirmation carefully and report any incorrect or incomplete information to us immediately.

The property is let for the purposes of a holiday let to which section 12 (2) and paragraph 8 of Schedule 4 of the Housing (Scotland) Act 1988 apply. The booking agreement confers the right to occupy the accommodation for the agreed period only. You undertake to use the property solely for its purpose as self-catering accommodation and to accept the Owner’s right to refuse access to the accommodation to any person, whether the client/hirer or guest of the client/hirer, deemed unsuitable. Causing a nuisance or disturbance to neighbours or any unreasonable behaviour may result in the Owner requiring the guest/hirer or their guests to leave.
